Internal Marketing Platform

Improving Internal Marketing Platform - WEIR Motion Metrics

The marketing team needed to migrate important documents and assets into a centralized SharePoint site. The existing setup was basic and lacked structure, making it difficult for employees to find and use resources efficiently.

I was responsible for organizing the information architecture, improving the layout, and creating a centralized brand hub for internal teams.

 Company: Weir Motion Metrics
Role: UX/UI Designer
Timeline: 1 week
Platform: SharePoint (internal tool)

The Challenge

  •  Marketing assets were scattered across different locations
  • The SharePoint structure was very basic and not user-friendly
  • Employees struggled to find the right files quickly
  • No clear system for organizing or maintaining content

This led to inefficiencies and inconsistent use of marketing materials across teams.

Constraints

  • Limited design flexibility within SharePoint
  • No custom UI components
  • Had to work within an existing system and structure
  • Needed a solution usable by non-designers across the company

Approach

Understanding Users

Restructuring Information Architecture

Restructuring Information Architecture

I considered the needs of:

  • Marketing team
  • Sales and regional teams
  • Internal stakeholders

Each required quick and intuitive access to different types of assets.

Restructuring Information Architecture

 I reorganized the platform to:

  • Group content logically
  • Reduce time spent searching
  • Make navigation more intuitive

Creating the Employee Brand Center

Creating the Employee Brand Center

Creating the Employee Brand Center

I designed a centralized hub where employees could easily access marketing assets.

This included:

  • Clearly labeled categories (logos, templates, presentations, etc.)
  • Simple, scannable structure for non-design users
  • Consistent organization across all asset types

Improving Layout & Usability

Creating the Employee Brand Center

Creating the Employee Brand Center

 Within SharePoint limitations, I:

  • Simplified page layouts
  • Prioritized frequently used content
  • Improved visual clarity and scanning

Solution

Employee Brand Center

I created a centralized brand hub with clearly defined categories, making it easier for employees to find and use marketing assets without needing design knowledge.

Before

Before

Before

  • No clear organization
  • Difficult to navigate

After

Before

Before

  • Centralized platform
  • Clear categories and structure
  • Faster and easier access to assets

Outcome & Key Takeaway

Outcome

  • Improved accessibility of marketing resources across the company
  • Reduced time spent searching for documents
  • Created a scalable structure for future content
  • Enabled teams across regions to easily find and use assets

Key Takeaways

  •  Strong information architecture can significantly improve usability, even in simple systems
  • Designing for internal users requires clarity over visual complexity
  • Working within constraints is a key part of real-world UX

Reflection

This project reinforced the importance of organizing content based on user needs and designing systems that are intuitive for a wide range of users. It also highlighted how thoughtful structure and clarity can improve efficiency, even without advanced design tools.
